Sync a Notion database with Todoist, both ways

Calnio keeps a Notion database and a Todoist project in step. A new page becomes a task, a new task becomes a page, and a title, a due date, a done tick or a priority changed on one side changes on the other. Each database gets a Todoist project of its own.

What travels

Four things: the title, the due date, whether the task is done and the priority. Nothing else crosses, so a Notion page's other columns and a Todoist task's labels and comments stay where they are.

The database needs no special shape. A date column becomes the due date, a checkbox or a status column says what is done, and a select called Priority sets the priority. Each of the three is optional.

Set it up

  1. Sign in to Calnio with Google. That creates your account.
  2. Connect Notion and tick the databases Calnio may see.
  3. Connect Todoist. It asks whether Calnio may read and change your tasks and projects. Both are needed because the sync goes both ways.
  4. Tick a database. Calnio uses a Todoist project of the same name or makes one, finds the columns and runs the first sync straight away.

If a project with that name already exists and no other sync uses it, Calnio uses it. You can point a sync at another project from its card.

The step-by-step guide shows each screen and how Calnio finds the date, done and priority columns.

Pages in, tasks out

Every page that is not done gets a task. Pages that are already done stay out, so an old database does not pour years of finished work into Todoist. A page with no title is skipped, because Todoist refuses a task with no name.

If a page's title matches an open task already in the project, Calnio links the two and does not make a second task. That matters when you add a sync again after removing one.

A task you add in Todoist becomes a page. Repeating tasks are never copied into Notion, and a due date is never written onto a repeating task.

Done, deleted and changed

Tick a task in Todoist and the page is marked done: its checkbox is ticked, or its status moves to the first option in the Complete group. The other way works too.

Deleting a task sends its page to the Notion trash, unless the page was edited since the last run. Deleting a page deletes its task, unless the task was edited since. Then the task gets a new page.

If both sides change the same field between two runs, the later edit wins and Notion wins a tie. Different fields do not clash: a title edited in Notion and a due date moved in Todoist both survive.

Price and timing

Both-way sync with Todoist is on the paid plan and the 7-day trial. The paid plan is $3.99 a month and covers every database, and the first 7 days are free with no card. Accounts made before 2 November 2026 have a free plan with one database that syncs one way, from Notion to Todoist, every 30 minutes.

Paid accounts are checked every 5 minutes by default, and slower if you choose. A task you add in Todoist can take a few minutes to appear in Notion.

Your dates, where you already look.

Sign in, tick a database, and its pages show up in Todoist as tasks.

7 days free with no card, then $3.99 a month in total, however many databases. Nothing to install.
