Questions about syncing Notion with Apple Calendar

What Calnio costs, what it keeps, how often it runs, what two-way means, and how to take it all back. If something is missing here, write to me and I will add it.

Free for one database, one way. $3.99 a month for two-way and all of them, the first 7 days free with no card. Nothing to install.

What does Calnio cost?

Free: one Notion database, synced one way, every 30 minutes. Paid, $3.99 a month: two-way sync, every database, Apple Calendar, Google Calendar and Todoist included, checked every 15 minutes or as often as every 5 if you choose that in Settings.

Every new account gets the paid plan free for 7 days, counted from its first sync. No card.

A yearly plan is coming, and it will cost less per month than paying monthly.

I host Calnio myself, on a server I run, and I use it for my own tasks every day.

How does the free trial work?

Every new account starts on it: seven days of the paid plan, with two-way sync and every database. The seven days start when you set up your first sync, not when you sign up. You never add a card, so nothing can be charged.

When the seven days end, you move to the free plan on your own. Your oldest database keeps syncing from Notion every 30 minutes, two-way and your other databases pause, and nothing is deleted. Subscribe from the Billing page, during the trial or after, and everything turns back on. The first $3.99 is taken that day.

What happens when the trial ends, or if I cancel?

Your account goes back to the free plan. Nothing is deleted: your syncs, their links and the events already in your calendar all stay.

The free plan runs one database, one way. Your oldest sync keeps running from Notion, and two-way and the others pause until you subscribe again, which starts them on the next check.

Why do I sign in with Google to sync Apple Calendar?

Google sign-in is only how Calnio knows it is you, so there is no new password to make up. Signing in asks Google for your name, email and avatar and nothing else, and keeps no Google tokens. It never sees your mail or your files.

Apple Calendar is connected separately, with an app-specific password you make on account.apple.com. Google Calendar is a separate connection too: Calnio sees it only if you connect it on the Connections page, and Google asks you again then.

Is Calnio safe to connect to Notion, iCloud, Google Calendar and Todoist?

Calnio asks for as little as it can. When you connect Notion, Notion shows a page picker, and Calnio can only see the pages and databases you tick there.

For iCloud it uses an app-specific password, never your Apple Account password. You can revoke that one password at any time without touching anything else.

For Google Calendar and Todoist, Calnio asks through their own consent screens, and you can remove it in your Google Account, or in Todoist under Settings, Integrations.

The Notion, Google Calendar and Todoist tokens and the iCloud password are encrypted before they reach the database. Your session lives in an httpOnly cookie that the page itself cannot read.

What data does Calnio store?

Your name, email address and avatar from Google sign-in, but no Google tokens. A Notion access token. Your iCloud email and app-specific password.

For each sync: which database, which date column and which calendar. For each synced item: its title, its start and end, whether it is all day, and the ids that link the Notion page to the calendar event. Never the content of your pages.

If you subscribe: your Stripe customer id, the status of your subscription, and when its trial and current period end. Never your card, which only Stripe sees.

If you use Google Calendar: its access and refresh tokens, the Google email it belongs to, and the id and name of each calendar you sync into.

If you use Todoist: its access and refresh tokens, your Todoist email, name and timezone, and for each synced task its title, due date, whether it is done, its priority and the ids that link it to its page.

Is the sync one-way or two-way?

Notion to the calendar always runs, for Apple Calendar and Google Calendar alike: a new date, a moved date, a renamed page or a trashed page all reach the calendar.

The calendar to Notion is a switch on each sync, off until you turn it on, and on the paid plan and the trial only. With it on, moving an event changes the page date, renaming it renames the page, deleting it moves the page to the trash, and an event you create in that calendar becomes a new page.

When both sides changed since the last run, the later change wins, and Notion wins a tie. Repeating events and invitations with other attendees are never imported.

A Todoist sync runs both ways on the paid plan and the trial, and from Notion to Todoist only on the free plan.

Does Calnio work with Todoist?

Yes. On the paid plan and the 7-day trial it syncs both ways, and on the free plan from Notion to Todoist only. Tick a database and it gets a Todoist project of the same name, with its date, done and priority columns found for you. Every one of them stays editable on the sync.

A new task in the project becomes a page, and a new page becomes a task. Ticking one off ticks the other, and deleting one deletes the other. Pages that were already done when you set it up stay out of Todoist.

Priority follows the order of your select column: its first option is p1. Repeating tasks are never copied into Notion. When both sides changed the same thing between runs, the later change wins.

Each synced database takes one Todoist project, and Todoist's free plan limits how many projects you can have.

How often does Calnio sync?

Every 15 minutes on the paid plan, or as often as every 5 if you choose that in Settings, and every 30 on the free one. When you add a database or switch syncing on, the first run starts right away instead of waiting for the next round.

Apple says my app-specific password is wrong. What now?

Check three things. The email must be the Apple Account the password was made under. You must copy all four groups, with the dashes. And you must not have changed your Apple Account password since, because that revokes every app-specific password and you need a new one.

If all three are right, wait half an hour before trying again. Several failed tries in a row can make Apple refuse even a correct password for a while.

Which calendar do the events go into?

Each database gets its own calendar, named after the database, in iCloud or in Google Calendar. If a calendar with that name already exists, Calnio uses it, and when you add the database you can pick one of your own instead. You can point a sync at another calendar from its card later.

Why does Calnio need an app-specific password?

Apple has no sign-in button for calendar access. iCloud Calendar speaks CalDAV, which takes an email and a password, and Apple only accepts app-specific passwords there. Creating one needs two-factor authentication on your Apple Account.

What happens when I tick a task done in Notion?

Nothing changes in the calendar. Calnio syncs the title and the date. A page leaves the calendar when it is trashed or its date is cleared.

With a Todoist sync, it completes the task in Todoist, and ticking the task off in Todoist marks the page done.

Does it work with Google Calendar or Outlook?

Google Calendar, yes. Connect it on the Connections page, pick a database, and its dates become events in a Google calendar named after it, or one of yours. Two-way works the same as with Apple Calendar.

Outlook, no. Calnio writes to Apple Calendar through iCloud, to Google Calendar, and to Todoist.

How do I disconnect Calnio?

To pause, turn off a sync on the Syncs page, or everything at once in Settings. Deleting a sync also deletes the events it created.

Disconnecting Notion under Connections revokes the grant on Notion's side. Disconnecting Apple Calendar leaves the events already in your calendar. Revoke the iCloud password at account.apple.com, under Sign-In and Security, App-Specific Passwords.

Disconnecting Google Calendar revokes its grant on Google's side and removes your Google Calendar syncs. The events already in your calendars stay.

Disconnecting Todoist revokes its grant and removes your Todoist syncs. Deleting a Todoist sync stops it, and its tasks and pages stay.

Settings, Delete account removes everything Calnio stores about you and revokes its Notion, Google Calendar and Todoist access. Events already in Apple Calendar or Google Calendar and tasks in Todoist stay. They are yours.

Your dates, where you already look.
